This Privacy Policy explains how Tavern Recruit ("we", "us", or "our") collects, uses, stores, and protects your personal information when you use the Tavern Recruit mobile application (the "App"). By creating an account or using the App, you agree to the collection and use of information in accordance with this policy.

Tavern Recruit is operated by Tavern Recruit (sole trader), based in the United Kingdom. We are committed to complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We collect the following categories of personal data when you use the App:

2.1 Account information

• Email address – collected via your chosen sign-in method (Google or Apple).
• Profile photo – uploaded by you to personalise your profile.

2.2 Profile and preference data

• Gaming preferences – including games you play, platforms, playstyle, and availability, as entered by you.

2.3 Location data

• We may collect approximate location data to help surface nearby players. You will be asked for permission before we access your device location. You may disable location access at any time in your device settings, though this may limit certain features.

2.4 Device and app information

• We collect basic device and app information — including device model, operating system and version, app version, language, and approximate device region — to diagnose issues and to understand how the App is used. We do not collect advertising identifiers (IDFA or Google Advertising ID) and we do not use the App to track you across other apps or websites.

2.5 Product usage and diagnostics

• Product-interaction events – we log a small, fixed set of events describing how you use the App (for example: signing in, completing onboarding, swiping, creating a match, sending a message, creating or applying to a notice-board post, saving profile changes, or submitting a report). Each event is tagged with a one-way hashed version of your user ID so we can measure funnels without sharing the raw identifier with third parties.
• Crash and performance reports – when the App encounters an error or performs slowly, we collect a diagnostic report containing a stack trace, the device information described in 2.4, and a limited, PII-masked replay of the screens involved. We use these reports to fix bugs and improve reliability.

2.6 Launch waitlist

If you join the launch waitlist on our website, we store the email address you give us, the time you signed up, and a one-way hash of your IP address that we use only to stop automated sign-ups. We use your email address only to tell you when Tavern Recruit launches. We never share it or use it for anything else, and we delete the waitlist once launch emails have been sent. 3. How We Use Your Information

We use your personal data for the following purposes:

• To create and manage your account
• To provide the core matching and party-finding features of the App
• To display your profile to other users and surface compatible matches
• To improve, maintain, and develop the App
• To ensure the safety and security of our users
• To comply with our legal obligations

Our lawful basis for processing your data is:

• Contract performance – to provide the services you have signed up for.
• Legitimate interests – to improve our service and ensure security.
• Legal obligation – where required by applicable law.

4. Third-Party Sign-In Providers

You may sign in using Google or Apple. When you do, those providers may share limited account information with us (such as your email address and display name) in accordance with their own privacy policies. We do not receive your password from these providers. Please review the relevant privacy policies:

5. Sharing Your Information

We do not sell your personal data. We may share your information in the following limited circumstances:

• With other users – your profile information (photo, display name, gaming preferences) will be visible to other users of the App as part of the matching feature.
• With service providers – we engage the specific third-party processors listed in section 6 to host our database, capture error reports, and measure product usage. These providers are bound by contractual obligations and may not use your data for any purpose other than providing services to us.
• Legal compliance – we may disclose your data if required to do so by law or in response to a valid legal request.

6. Service Providers and Sub-Processors

To operate the App we rely on a small number of named third-party processors. Each has its own privacy policy linked below:

• Supabase – authentication, database, and file storage for your account, profile, notices, applications, matches, messages, and uploaded images. Policy: https://supabase.com/privacy.
• PostHog – product analytics. Receives the product-interaction events described in section 2.5, tagged with a hashed anonymous user ID and the device information described in section 2.4. Hosted in the European Union. Policy: https://posthog.com/privacy.
• Sentry – crash reporting and performance monitoring. Receives stack traces, device information, and PII-masked session replays only when the App errors or performs slowly. Policy: https://sentry.io/privacy/.

7. International Data Transfers

Where any of the processors listed in section 6 are located outside the United Kingdom, we rely on the UK Government's adequacy regulations, the UK International Data Transfer Addendum, or the EU Standard Contractual Clauses to safeguard your data during that transfer. You may request details of the specific safeguard applied to any transfer by contacting us at support@tavernrecruit.com.

8. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with the App. If you delete your account, we will delete or anonymise your personal data within 30 days, except where we are required to retain it for legal or regulatory reasons.

9. Your Rights

Under UK GDPR, you have the following rights regarding your personal data:

• Right of access – to request a copy of the data we hold about you.
• Right to rectification – to request correction of inaccurate data.
• Right to erasure – to request deletion of your data ("right to be forgotten").
• Right to restriction – to request we limit how we use your data.
• Right to data portability – to receive your data in a structured, commonly used format.
• Right to object – to object to processing based on legitimate interests.

10. Children and Age Restrictions

Tavern Recruit is intended for users aged 17 and over. We do not knowingly collect personal data from individuals under the age of 17. If we become aware that a user is under 17, we will promptly delete their account and associated data. 11. Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. However, no method of transmission over the internet or electronic storage is entirely secure, and we cannot guarantee absolute security.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "last updated" date at the top of this document and notify you via the App or by email where required. Continued use of the App following changes constitutes acceptance of the updated policy.
